What are file extensions and why are they important?
File extensions are the last parts of a filename (e.g., .pdf, .docx) that tell the system what type of file it is. In electronic communication, especially in legal dealings, it is crucial that only specific file extensions are used, as not all can be processed by the specialized software used.
Why exactly can't all file extensions be used in EGVP?
The Add-In supports only those file extensions that comply with the legal requirements and technical specifications of the Electronic Legal Communication Ordinance (ERVV). If other file extensions are used that cannot be processed by the courts' software, this can lead to the rejection of the EGVP message.
Where can the regulations be viewed?
The specific requirements for electronic documents are set out in § 2 of the Electronic Legal Communication Ordinance (ERVV). These legal specifications regulate which file extensions and formats are permitted for electronic legal communication.
You can find further information on the official website of the Federal Ministry of Justice:
⇒ ERVV § 2 – Requirements for electronic documents
How can new file extensions be enabled?
If the court has permitted the use of additional file extensions in individual cases, these can be enabled in the portal's registry.
This is done under the path:
„HKEY_CURRENT_USER\Software\Mentana\Mentana Outlook Add-In“
There, additional file extensions can be added in the registry entry „EGVP_erlaubte_Dateitypen“.
Conclusion
It is important that only supported file extensions are used to ensure that the EGVP message is processed correctly. You should inform yourself about the relevant regulations and ensure that no impermissible file extensions are sent. If this is nevertheless necessary, additional file extensions can be enabled via the Registry.
